Privacy notice

Last updated: 4 October 2026

This notice explains what personal information The Little Pickle collects through this website, the Coffee Club (rewards.thelittlepicklefoodie.co.uk) and the Pickle Run game, why we collect it, and your rights over it.

Who we are

The Little Pickle is a café run by Sophie and Bethan, trading as The Little Pickle, inside Gales Wine Bar & Hotel, 18 Bridge Street, Llangollen LL20 8PF. We are the “controller” of your personal information. You can contact us about anything in this notice at thelittlepicklefoodie@gmail.com, or ask us in the café.

Our websites are built and looked after for us by QB Digital Software Ltd, who act only on our instructions.

What we collect, and why

Coffee Club members

  • Your account: your name, email address and password (stored scrambled, so nobody can read it), and the date you joined. We need these to run the loyalty card you signed up for.
  • Your card: your stamps, and a record of each stamp and free coffee (when it happened, and which member of staff added it). This is how the scheme works and lets us put mistakes right.
  • Your email choice: whether you ticked “email me the occasional treat”, and when. We only send offers and news if you said yes, and you can change your mind at any time by telling us.

Our legal basis is that the information is needed to provide the Coffee Club you joined (a contract), and your consent for marketing emails. You must be 16 or over to join.

Pickle Run free coffee

  • Your voucher: when you win a free coffee, we keep the name and email you give us, your score and level, the voucher code, when it was emailed and when it was used. We need these to email you the voucher and to make sure each one is only used once.
  • News: if you tick the box to hear from us, we keep that choice and when you made it.
  • Weekly board: if you put your score on the week’s board, we keep the name and email you give us, your beans for each level, and when. Only your first name and score are shown to other players. Each Monday we email the week’s top scorer and add a bonus stamp to their Coffee Club card (or when they join with that email). We use this to run the board and the prize you entered for.
  • Game logs: the game records anonymous play events (such as levels reached and buttons pressed) so we can find and fix problems. Your IP address is not stored: a scrambled code that can’t be turned back into it groups runs from the same device.
  • On your device: your best scores, sound setting and vouchers are saved in your own browser. They stay on your device and you can clear them in your browser settings.

Everyone who visits

  • Visit counts: we count page visits ourselves, without cookies: the page, the site you came from, and whether you’re on a phone or computer. To count unique visitors we use a code that changes every day, so we can’t recognise you from one day to the next. Your IP address is not stored. This is in our legitimate interest in knowing which pages people use.
  • Security: to stop abuse, the free-coffee form briefly keeps a scrambled version of your IP address for 10 minutes. Our web host keeps standard server logs (which include IP addresses) to keep the sites secure.

Cookies

We don’t use advertising or tracking cookies. The only cookies we set are the ones that keep you signed in to the Coffee Club (or to the admin, for staff). They are needed for signing in to work.

The Find Us page shows a Google map. When it loads, Google may set its own cookies and receives your IP address; see Google’s privacy policy.

Who else sees your information

We never sell your information. It is only handled by:

  • GoDaddy, who host our websites and send our emails;
  • QB Digital Software Ltd, who build and maintain the sites for us;
  • Google, only if you view the map on the Find Us page.

Some of these providers may process information outside the UK. Where they do, they use the legal safeguards UK law requires.

How long we keep it

  • Coffee Club accounts and card history: while you are a member. If you ask us to close your account, we delete it.
  • Free-coffee vouchers: while the game offers free coffees, so each voucher can only be used once. We delete them sooner if you ask.
  • Weekly board scores: while the game runs its weekly board, so past winners can be checked. We delete yours sooner if you ask.
  • Game logs and visit counts: only while we need them to improve the game and the website.

Your rights

You can ask us to show you the information we hold about you, correct it, delete it, limit how we use it, or give you a copy to take elsewhere. You can object to how we use it, and withdraw your consent to marketing emails at any time. Email thelittlepicklefoodie@gmail.com or ask us in the café. We’ll reply within a month.

If you’re unhappy with how we’ve handled your information, please tell us first. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113.

Changes

If we change how we use your information, we’ll update this page and the date at the top.
